They outline the agreement between you (our valued traveler) and us. By booking a trip with India Odyssey Tours, you're confirming that you understand and accept these terms. We want everything to be clear and smooth for you from the start!

1. Communication & Reservation

1) As soon as we receive your inquiry, one of our travel experts will get started on crafting a personalized tour plan and get back to you with a suggested itinerary or quotation within 24 hours. They'll work closely with you until every detail of your trip feels just right.

2) To confirm your booking, we'll need a deposit of 30% of your tour cost. Once we receive it, we'll go ahead and secure your reservations. For larger groups, a higher deposit may be required depending on supplier terms like hotel and airline policies.

3) We recommend booking your tour at least 60 days before your desired departure date to make sure everything goes smoothly. The full balance is due 45 days prior to the date of departure.

4) During peak travel seasons or for special arrangements, we may require a higher deposit or full payment at the time of booking to ensure all services are secured in advance. If that's the case, the travel expert will let you know before you confirm your booking.

5) After everything is confirmed, we'll send you a confirmation letter with all the important details - your flights, hotels, and daily itinerary. If anything changes after that (for reasons beyond our control), we will get in touch with you at the first time and do our best to provide you with a similar and equally enjoyable alternative.

2. Payment

We offer several easy and secure ways for you to make your payment:

You can choose the payment method that works best for you. The travel expert will email you all the necessary payment information along with a step-by-step payment guide, so everything is clear and hassle-free.

A few important notes:

1) The quotes are typically provided in US Dollars or Australian Dollars. The specific currency used will be clearly indicated in the quotation.

2) To ensure all arrangements are secured on time, it's important that your payment is completed by the due date. If, for any reason, you're unable to make the payment on time, please inform your travel expert as soon as possible. Without timely payment or prior notice, your reservation may be automatically canceled due to supplier policies and limited availability.

3) Please note that certain payment methods may incur processing or transaction fees, depending on the option you choose. These fees are the responsibility of the customer. We recommend consulting your travel expert before the invoice is issued.

About the Payment Account (Wire Transfer):

1) To keep your payments safe and secure, please note that India Odyssey Tours only accepts bank transfers to accounts based in Australia, Mainland China and Hong Kong (SAR).

2) If we ever add new authorized bank accounts or make any changes, we'll let you know right away with an official notice.

3) For your peace of mind, we also recommend double-checking the account details carefully before making any transfers.

3. Cancellation Policy (General)

We understand that plans can change, and we'll always do our best to be as flexible and supportive as possible. If you must cancel your trip, please take a moment to review our cancellation policy below. It outlines any fees that may apply, along with a few other important details to keep in mind.

Here's how cancellation fees are calculated:

1) More than 45 days before your scheduled departure: 15% of the full payment per person;

2) Between 45 and 15 days before departure: 30% of the full payment per person;

3) Between 14 and 7 days before departure: 50% of the full payment per person;

4) Within 6 days of departure (including the day of departure): 100% of the full payment per person.

If any extra cancellation fees are charged by service providers other than India Odyssey Tours, like banks, airlines, cruises, hotels, or rail companies, these will be deducted from your refund.

If you need to replace a traveler on a booking with someone else (for example, if you can't go and want to send a friend or family member), it will be treated as a cancellation and is subject to the same cancellation fees outlined in our policy.

Once your trip has started, we're unable to refund any fees related to unused services, whether you leave early, arrive late, or miss any part of your tour. These fees may include costs for hotels, flights, train tickets, meals, and entrance tickets.

This policy doesn't apply to products or services that have their own cancellation rules. Please be sure to check the specific details provided with those products or services for more information.

4. Changes to Your Itinerary

Before you confirm your booking, you're welcome to make changes to your itinerary free of charge.

After confirmation, changes to your itinerary may incur cancellation or adjustment fees, depending on the situation. Please note that such changes may include alterations to your departure date or destination. If you request any changes after confirmation, you'll be responsible for any additional costs that may result. All changes are subject to availability and cannot be guaranteed.

We always aim to deliver your tour exactly as planned, but sometimes adjustments are necessary due to flight reschedules, transportation changes, or other unforeseen events. If that happens, we'll make suitable changes to your itinerary and let you know right away. Any difference in cost, whether an increase or a reduction, will be calculated and adjusted accordingly.

5. Travel Documents

Passport Validity

Most countries require that your passport be valid for at least six months beyond your planned return date.  Please check the passport validity requirements of each country you plan to visit or transit through.

Passport Accuracy

Your passport information must be accurate and up to date. Please ensure your full name, date of birth, and other personal details exactly match those on your travel bookings and visas. Any differences may lead to delays or even denial of boarding. India Odyssey Tours cannot be held responsible for issues caused by incorrect or invalid passport information.

If you hold dual passports, please make sure all your booking details match the passport you plan to use for your trip. Also, be sure to bring that specific passport when you travel. It's important to double-check the information because using the wrong passport or having mismatched details may result in delays, denied boarding, or other travel disruptions for which India Odyssey Tours cannot be held liable. You'll be responsible for any consequences that may arise from incorrect information or using the wrong passport.

Visas and Entry Requirements

Visa policies vary widely depending on your nationality and destination. Some visas can be obtained online (e-visa), some on arrival, and others must be secured in advance through embassies or consulates. It is your responsibility to obtain all necessary visas for your trip.

Updating Your Travel Expert

Please provide your travel expert with updated and accurate passport details well before your trip. This helps ensure your bookings are processed smoothly.

Travel Insurance

We strongly recommend purchasing comprehensive travel insurance before your departure. While it may not be mandatory for all destinations, having the right coverage provides peace of mind and protects you financially against unexpected events.

6. Travel Insurance

Before your trip, your travel expert will remind you of potential risks and the importance of staying protected. We strongly recommend purchasing comprehensive travel insurance that covers medical emergencies, trip delays or cancellations, lost luggage, and other unforeseen events.

While we always do our best to ensure a smooth and enjoyable journey, unexpected situations beyond our control may sometimes arise. India Odyssey Tours Tours cannot be held responsible for any financial losses or difficulties resulting from a traveler's decision not to purchase adequate travel insurance. Likewise, we are not liable for any personal injury, property loss, or damage that may occur during your trip due to events outside our control.

These may include:
● Loss of luggage, travel documents, cash, or other valuables (including personal items or consignments);
● Bank or credit card theft or fraud;
● Accidents or unforeseen incidents during flights, land transportation, or water activities;
● Sudden illness, medical conditions, or unfortunate events such as death;
● Delays or changes caused by factors outside the control of India Odyssey Tours's operational team;
● Acts of terrorism or other related threats;
● Natural disasters such as earthquakes, floods, or storms;
● Any other unforeseen circumstances beyond the control of India Odyssey Tours Tours.

7. Medical Conditions

If you have any medical, physical, or emotional condition that may require special attention during your trip, please inform us in writing before booking.

If you require a wheelchair, you'll need to bring your own small, collapsible one, as this is essential throughout your journey. Please note that not all destinations, attractions, or itineraries we offer are fully wheelchair-accessible. For this reason, we strongly recommend discussing your needs with your travel consultant before confirming your booking. While we will do our best to assist, wheelchair services cannot be guaranteed in all destinations.

For the safety of both mother and baby, we're unable to accommodate travelers who are 6 months pregnant or more at the time of travel.

You are responsible for understanding the health requirements, travel risks, and vaccination needs of the destinations you plan to visit or transit through. It's important to consult your physician and check official government travel advisories before your trip to ensure your safety and preparedness.

India Odyssey Tours reserves the right to decline any participant whose condition may, in our judgment, impact the health, safety, or experience of others in the group.

8. Complaints and Claims

We genuinely want you to have a wonderful experience. If something doesn't go as planned during your trip, please let your guide or travel expert know as soon as possible, they'll do their best to resolve the issue on the spot.

If you'd like to submit a formal complaint, please contact us by email or phone within 15 days of the end of your tour. To help us process your claim efficiently, include any relevant documentation or receipts. Unfortunately, we're unable to accept claims submitted after this 15-day period.

India Odyssey Tours reserves the right to take legal action and seek compensation for any unauthorized use, reproduction, or distribution of the materials on this website in violation of these terms.

11. Force Majeure

We sincerely regret that we cannot accept liability or offer compensation when the performance of our services is prevented or affected by circumstances beyond our control. These may include events such as war or the threat of war, civil unrest, labor disputes, acts of terrorism, natural or nuclear disasters, fire, severe weather, technical issues with transportation, airport or port closures or congestion, changes or cancellations by airlines, and other unforeseen situations. While we will always do our best to assist you during such events, we appreciate your understanding that some disruptions may be unavoidable.

12. Limitation of Liability

The liability of India Odyssey Tours and its affiliated companies is strictly limited. India Odyssey Tours shall accept no responsibility for any wrongful or negligent acts, omissions, or failure to act of any suppliers such as those of overland, air and water transportation, sightseeing excursions, cruise/hotel accommodations, or of any third party that is not owned or operated directly by India Odyssey Tours. By utilizing the travel services of the suppliers, you agree to look to such suppliers for any accident, injury, property damage, or personal loss to you or to those traveling with you, and that neither India Odyssey Tours nor any representative of India Odyssey Tours shall be responsible.

Without limitation, India Odyssey Tours is not liable for any injury, loss, or damage to person or property, death, delay, or inconvenience in connection with the provision of, or failure to provide, any goods or services occasioned by or resulting from - but not limited to - acts of God or force majeure, acts of war or civil unrest, insurrection or revolt, strikes or other labor activities, criminal or terrorist activities of any kind, overbooking or downgrading of accommodations, mechanical or other failure of airplanes or other means of transportation or for the failure of any transportation mechanism to arrive or depart on time, sanitation problems, lack of medical care, or for any other cause that is outside India Odyssey Tours's direct control. Nor should India Odyssey Tours take responsibility for the theft or loss of your valuable items caused by your negligence.

India Odyssey Tours shall take no responsibility for your failure to comply with customs regulations.

India Odyssey Tours shall not be responsible for any criminal act or any act of the clients considered criminal by the laws of the country visited, but is obliged to provide both relevant law offices and the clients with utmost assistance in investigation when necessary.

India Odyssey Tours retains the right to substitute hotels with those of similar quality or to make changes in the itinerary of similar quality, flights, or cruise ships, or to cancel the tour prior to departure at any time. If India Odyssey Tours cancels a tour before it starts, it is liable for a full refund of the money received. However, India Odyssey Tours will normally not do so unless forced by virtue of unforeseen circumstances. If you purchase an airline ticket separately, make sure that your agent explains the conditions under which the ticket is issued as India Odyssey Tours is not responsible for such airline ticket cancellation fees.

India Odyssey Tours reserves the right to correct promotional or pricing errors at any time, or to increase the program price in the event of cost increases due to changes in airfares, cruise fares, currency fluctuations, taxes, or fuel surcharges. Please note that not all museums and attractions are open every day of the year. India Odyssey Tours reserves the right to change the sequence of sightseeing and/or to re-route the order of cities if that enables you to visit all listed excursions. In either case, the itinerary content will be maintained to the extent possible and no refunds will be given in respect of any unused or unavailable excursions.

Many of our tour packages include activities that require extra care and attention, which include boarding and going ashore from boats, trekking, climbing hills, entering and exiting tombs and caves, etc. Our representatives will offer you help and useful advice, but all activities are undertaken at your own risk. India Odyssey Tours and its employees and agents take no responsibility for any action or event that occurs after its employees and agents have fulfilled their duty and taken the necessary care.
